Terms of Service
Last updated: 1 November 2026
These Terms of Service ("Terms") govern your access to and use of the Ambr mobile application and website at ambr.so (the "Service"), operated by Ambr Systems Ltd, trading as Ambr ("Ambr", "we", "us", "our"). Ambr Systems Ltd is a company registered in England and Wales with company number 17544849, and its registered office is at The Hubb Business Centre, 335-351 Rainham Road South, Dagenham, RM10 8QR, United Kingdom.
By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
Ambr is a digital loyalty card platform. It allows:
- Merchants to create stamp-based loyalty cards and manage customer rewards.
- Customers to collect stamps at participating businesses and redeem rewards.
2. Accounts
- You must provide a valid email address to create an account. You are responsible for keeping your login credentials secure.
- You must be at least 16 years old to use the Service.
- You are responsible for all activity that occurs under your account.
- You may not create more than one account for the same role (Merchant or Customer) unless we have given explicit written permission.
- You may delete your account at any time via Settings → Leave Ambr, in the app or on the web.
3. Merchant responsibilities
- Merchants are responsible for the loyalty programmes they create, including the accuracy of reward descriptions and the fulfilment of rewards they offer.
- Merchants must not issue stamps fraudulently, deceptively, or in exchange for payment.
- Merchants must not use the Service to collect personal data beyond what is necessary for the loyalty programme, or in any way that violates applicable law.
- Merchants acknowledge that Customers' stamp records belong to the Customer and may not be altered or removed individually without a legitimate operational reason.
- Ending a programme is different from editing it. A Merchant may close their shop or delete their account at any time, and doing so ends their loyalty programme — closing preserves every Customer's stamps in case the shop reopens, while deleting the account removes the card and its stamp records permanently. We notify affected Customers when a programme is deleted. A Merchant cannot require us to erase or to retain personal data belonging to their Customers; we decide that as the data controller, under our Privacy Policy.
4. Merchant plans, billing and cancellation
This section applies to Merchants on a paid plan. It does not affect Customers, who use Ambr free of charge and are never asked to pay for anything.
Your free trial. Every new Merchant gets a 30-day free trial. It starts when your starter kit is delivered (or, if it has not arrived within 30 days of sign-up, on that 30th day), so you have the full 30 days with your counter stand. We ask for card details up front so your plan can start the moment the trial ends, but nothing is charged during the trial and we email you before it finishes. Cancel any time before the last day and you are never charged at all.
What you pay. Plans are billed per branch — each location where you give out stamps — in advance, either monthly or annually. Your price, your billing interval and the number of branches on your plan are shown to you before you confirm, and again on every invoice. Prices are in pounds sterling and are the total amount payable: we are not currently registered for VAT, so no VAT is added to what you see. If that changes we will tell you before it affects your bill.
Adding or removing a branch. You can add or remove branches at any time from your dashboard, and we adjust your bill automatically. Adding a branch part-way through a period is charged pro rata for the remainder of that period. Removing a branch credits the unused balance against your next invoice rather than being refunded in cash.
Cancelling. You can cancel at any time from your billing settings. There is no minimum term, no notice period and no cancellation fee. Cancelling stops the next renewal: you keep full access until the end of the period you have already paid for, and part-used months are not refunded. So if you are on an annual plan and cancel in month three, you keep Ambr until month twelve. We email you the moment you cancel, to confirm it and the date your access ends.
Our 30-day guarantee on annual plans. If you take an annual plan and decide within 30 days of your first annual charge that Ambr is not for you, email us and we will refund it in full. No questions and no forms.
And beyond that, just ask. The above is our floor, not our ceiling. If something has gone wrong, or your circumstances have changed, email us and a person will read it. We would far rather put it right than keep money you feel you should not have paid.
Pausing instead of cancelling. If you are closing for a season, taking leave, or simply having a quiet few months, you can pause your plan rather than cancel it. While paused you are not billed at all, your card, your customers and every stamp stay exactly as they are, and you can come back whenever you are ready.
Deleting your account. If you own a business and delete your account, your shop closes and billing stops straight away, and your account, your loyalty card and your customers' stamps at your business are permanently deleted 30 days later. Until then you can sign in and keep your account, and nothing is lost. If you would rather it all went at once, you can choose to delete immediately instead. We email you to confirm the request and again when the deletion is complete.
Renewals. Plans renew automatically at the end of each period, at the price then applying to your plan. For annual plans we email you before the renewal date so that it is never a surprise.
Price changes. We may change our prices from time to time. If we do, we will give you at least 30 days' notice by email and the new price will not take effect until your next renewal — the rate you have already paid for is never changed mid-period. Where we have told you that your rate is held, we will honour that for as long as your plan runs without interruption. A held rate covers the plan and features you subscribed to. If we later introduce optional add-ons or additional plans, they will be priced separately, and you will never be moved onto them or charged for them without your agreement.
If a payment fails. Cards expire and get replaced; it happens. If a payment fails we will retry it and email you over the following three weeks before anything stops working, and you can update your card at any time from your billing settings.
Your data if you leave. We do not hold your data hostage. If you cancel, pause or close your shop, nothing is deleted: your loyalty card, your customers and every stamp they have collected stay exactly where they are, and they are all still there if you come back. You can download everything we hold for your shop at any time from Settings → Your data, before you go or afterwards. We keep a closed programme's records for 24 months, after which we anonymise them — see our Privacy Policy.
5. Customer responsibilities
- Customers must not attempt to obtain stamps fraudulently (e.g. by manipulating QR codes, using multiple accounts, or reverse engineering the stamp flow).
- Stamps and rewards have no monetary value and cannot be transferred, sold, or exchanged for cash unless a Merchant explicitly offers this.
6. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable regulation
- Attempt to gain unauthorised access to any part of the Service or its infrastructure
- Interfere with or disrupt the Service or its servers
- Scrape, crawl, or systematically extract data from the Service
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity
- Use the Service to send unsolicited communications
- Upload, post, send, or otherwise make available — including in a business name, logo, card design, offer, or customer message — any content that is unlawful, harmful, threatening, abusive, harassing, defamatory, obscene, hateful, discriminatory, or otherwise objectionable, or that infringes any third party's intellectual property, privacy, or other rights
We do not tolerate objectionable content. If you encounter a message, offer, or any other content on the Service that you believe breaks these rules, report it to support@ambr.so. We review reports and will remove violating content and may suspend or remove the responsible account, ordinarily within 24 hours.
7. Intellectual property
The Ambr name, logo, app design, and underlying software are our intellectual property. You may not copy, modify, distribute, or create derivative works from them without our written consent.
You retain ownership of any content you submit (such as a business name or card design). By submitting it, you grant us a non-exclusive, royalty-free licence to use it solely to operate and improve the Service.
8. Availability and changes
We aim to keep the Service available at all times, but we do not guarantee uninterrupted availability. We may modify, suspend, or discontinue any part of the Service at any time, with reasonable notice where possible.
We may update these Terms from time to time. We will notify you of material changes by updating the "Last updated" date and, where appropriate, via an in-app notification or email. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
9. Disclaimers and limitation of liability
The Service is provided "as is" without warranties of any kind, express or implied, to the extent permitted by law.
We are not liable for any loss or damage arising from:
- A Merchant's failure to honour a reward
- Loss of stamps due to account deletion (including deletion by you)
- Service interruptions or data loss beyond our reasonable control
- Unauthorised access to your account resulting from your failure to keep credentials secure
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited under the laws of England and Wales.
10. Termination
You may stop using the Service and delete your account at any time. If you are a Merchant on a paid plan, section 4 sets out how cancelling, pausing and refunds work. We may suspend or terminate your access if you breach these Terms or if we are required to do so by law, with reasonable notice unless the breach requires immediate action.
11. Governing law and disputes
These Terms are governed by the laws of England and Wales. Any dispute arising from or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If something has gone wrong, please email us first — most things are quicker to put right directly than through any formal process. Nothing in these Terms affects any statutory rights you have that cannot be excluded by agreement.
